  • Executive Assistant to the General Manager, Finance and Legal
  • Executive Assistant to the General Manager, Community Services

About the Roles

EA to General Manager of Finance and Legal:

Under the leadership of GM Finance and Legal, you will play a key role supporting the department that guides Coquitlam’s financial frameworks and legal affairs with precision and integrity. EA to General Manager of Community Services:

Under the leadership of the GM Community Services, you will play a key role in supporting this newly created department that supports some of the City’s most public-facing services including recreation, culture, facilities management, festivals and events, community partnership and social planning. This is an exciting opportunity to work alongside an innovative and inclusive strategic leader in an evolving and community-focused service area where your exceptional organizational skills, sound judgement, customer service orientation, and proactive support will make a visible difference every day.

What You’ll Do

  • Provide high-level, comprehensive administrative support including calendar and email management, meeting coordination, and preparing important documents.
  • Coordinate, proofread, and track key reports to City Council.
  • Serve as the welcoming first point of contact for internal and external stakeholders—from city staff and government agencies to the public.
  • Manage confidential and sensitive information with the utmost discretion and professionalism.
  • Facilitate smooth communication across departments and with external partners to support leadership priorities.
  • Take initiative to support the General Manager and department with other duties as needed.

About You

You are an exceptional, detail-oriented professional with a minimum of five years’ experience supporting senior executives. You thrive in fast-paced environments, possess strong organizational skills, and bring creativity and diplomacy to your work. You understand the importance of political sensitivity and exercise sound judgment when handling confidential information. You enjoy being part of a team while confidently working independently.

Required Skills and Qualifications

  • Proven ability to learn quickly and adapt to new information.
  • Outstanding verbal and written communication skills, comfortable engaging with senior leaders, colleagues, and external stakeholders.
  • Demonstrated technical aptitude and digital literacy, including experience working with enterprise systems.
  • Minimum 5 years of experience in an executive assistant or senior administrative role.
  • Strong problem-solving skills, with the ability to prioritize and manage competing demands.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Diploma or degree in Business Administration, Office Administration, or a related field is preferred; equivalent education or experience will be considered.
  • Valid Driver’s License.

Preferred Qualifications

  • Understanding of public sector environments, including relevant legislation, policy frameworks, and organizational procedures.
  • Understanding of Finance and Legal functions within a public sector or corporate environment (for the Finance and Legal position) is a strong asset.
  • Strong interpersonal skills with the ability to liaise effectively with diverse community groups and stakeholders.
  • Experience working with multiple departments or cross-functional teams in a collaborative environment.
  • Proficiency with project management tools and software is an asset.
  • Experience drafting communications, reports, or presentations focused on community programs or services.

What We Offer:

This excluded position has an annual salary range of $93,112 - $100,711 (2025 rates).  The rate of pay is based on a variety of factors including qualifications, knowledge, experience and skills.
